Do you charge commission on UPI orders?
No, we charge 0% commission on your sales. Customers scan the QR code and pay directly to your personal UPI ID. The money is deposited instantly into your bank account without any intermediaries.
Do I need expensive POS hardware to start?
No, ScanToOrder allows businesses to start digital ordering without requiring expensive dedicated POS hardware or terminals. Any standard smartphone running our ScanToOrder Vendor App is all you need to manage live orders.
Is internet connection required?
Yes, your customers will need a basic mobile data connection on their phones to scan the QR code and browse the digital menu. Your kitchen/counter phone also needs an active internet connection to receive order notifications.
Can we set up room numbers and custom labels?
Yes, our Growth, Pro, and Enterprise plans include full location management. You can set custom label prefixes like Table, Room, Cabana, Desk, or Seat depending on your hospitality layout.

1. Introduction
ScanToOrder ("we", "our", or "us") operates a digital QR-based food ordering platform accessible at scantoorder.in and via our mobile applications. This Privacy Policy explains how we collect, use, store, and protect information from two distinct types of users:
- Customers — individuals who scan a QR code and place food orders.
- Vendors / Merchants — restaurant or food stall owners who register on the platform to receive and manage orders.
By using our platform, you agree to the practices described in this policy.
2. Information We Collect
From Customers
- Name & Phone Number: Optionally provided for order tracking and contact by the vendor.
- Order Details: Items ordered, quantities, special instructions, table number, and payment method selected.
- Payment Metadata: We do not process or store payment credentials. UPI payments are handled directly between the customer and the vendor's UPI ID via third-party apps (Google Pay, PhonePe, Paytm, etc.).
- Device & Session Data: Browser type, IP address, and session identifiers for security and debugging.
From Vendors / Merchants
- Business Information: Shop name, address, category, and contact number provided during registration.
- Account Credentials: Email and password (stored securely via Firebase Authentication).
- Menu Data: Item names, descriptions, prices, images, and availability that you upload.
- Order & Usage Data: Total orders received, order history, monthly and lifetime order counts used to manage your subscription plan limits.
- Subscription Data: Your active plan (Free / Starter / Growth / Pro), billing dates, order usage counters, and subscription status.
- UPI Details: UPI ID and QR code image uploaded for customer payment, stored securely and displayed only to your customers.
3. How We Use Your Information
For Customers
- To process and relay your order to the correct vendor in real-time.
- To display your order status and history.
- To enable the vendor to contact you if required about your order.
For Vendors
- To create and manage your vendor account and digital storefront.
- To enforce subscription plan limits (order counts) and trigger grace period warnings.
- To send push notifications (via Firebase Cloud Messaging) for new orders and subscription alerts.
- To display your menu and UPI QR to your customers.
- To contact you about your account, subscription renewals, or platform updates.
4. Data Sharing and Third-Party Services
We do not sell, rent, or trade your personal information to any third party. Data is only shared in the following limited cases:
- Between Customer and Vendor: When an order is placed, order details (items, table number, name, notes) are shared with the respective vendor to fulfill the order.
- Firebase (Google LLC): Our backend infrastructure for authentication, database (Firestore), file storage, push notifications, and serverless functions. Data is stored on Google Firebase servers.
- UPI Payment Apps: Customer payment is made directly from the customer's UPI app to the vendor's registered UPI ID. ScanToOrder is not a party to this transaction.
- Legal Obligations: We may disclose information if required to do so by law or in response to valid legal processes.
5. Data Retention
- Customer order data is retained for 12 months for order history and dispute resolution purposes.
- Vendor account data is retained for the duration of the account and for 6 months after account deletion.
- Subscription and order count data is retained for billing record purposes.
6. Security
We implement industry-standard security measures including encrypted connections (HTTPS), Firebase Security Rules that restrict data access, and server-side validation via Cloud Functions. Vendor subscription fields and order counts can only be modified by our secure backend systems — not by the app directly.

1. Agreement to Terms
By accessing or using the ScanToOrder website, mobile applications, or vendor portal, you agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree, please do not use the platform. These Terms apply to all users including customers, vendors, and administrators.
2. Description of Service
ScanToOrder is a digital QR-based food ordering platform that enables:
- Customers to scan a table QR code, browse menus, and place food orders digitally.
- Vendors / Merchants to manage a digital menu, receive orders in real-time via a mobile app, and accept payments via UPI or cash.
ScanToOrder acts solely as a technology platform and is not responsible for food quality, preparation, delivery, or payment disputes between customers and vendors.
3. Vendor Subscription Plans & Billing
Vendors access the ScanToOrder platform under one of the following subscription plans:
- Free Plan: 30 days trial with unlimited orders at no cost. Intended for new vendors to try the platform.
- Starter Plan: ₹99/month (MRP ₹399) — up to 10,000 orders per calendar month.
- Growth Plan: ₹149/month (MRP ₹499) — up to 20,000 orders per calendar month.
- Pro Plan: ₹399/month (MRP ₹899) — up to 50,000 orders per calendar month.
Billing: All plans are currently activated manually by the ScanToOrder team upon receiving payment confirmation. Subscription fees are charged monthly and must be paid in advance.
4. Order Limits & Usage Policy
Each subscription plan includes a defined limit (30-day trial duration for Free plans, monthly order limits for paid plans). Once a vendor reaches their limit or their trial expires:
- A warning notification is displayed in the vendor app immediately upon reaching the limit.
- The vendor enters a 10-day grace period during which their shop remains online and they can continue to receive orders.
- Repeated warnings are shown every hour within the app during the grace period, with a countdown of remaining days.
- If the vendor does not upgrade their plan within the 10-day grace period, their shop will be automatically taken offline and will stop receiving new orders until the plan is upgraded.
- Upgrading the plan immediately restores the shop to active status.
Order counts include all successfully placed orders including those later cancelled by the customer or vendor. Test orders placed during setup also count towards the limit.
5. Cancellation & Refund Policy
- Subscription Cancellation: Vendors may cancel their subscription at any time by contacting us. However, subscription fees are non-refundable once payment is confirmed for the current billing month.
- Unused Orders: Unused order quota does not roll over to the next month for paid plans and is not refundable.
- Customer Food Orders: Refunds or replacements for food orders are the sole responsibility of the vendor. ScanToOrder does not facilitate or guarantee refunds for food orders.
- Payment Disputes: All UPI payments are made directly from the customer to the vendor's UPI ID. ScanToOrder is not a payment intermediary and cannot intervene in payment disputes.
6. Payments & Merchant Liability
All online payments (via UPI, Google Pay, PhonePe, Paytm, etc.) are processed directly between the customer and the merchant's personal or business UPI ID. ScanToOrder is not a payment gateway and does not handle, hold, or transfer funds on behalf of any party. Merchants are solely responsible for verifying payment receipt before fulfilling orders.
7. Vendor Responsibilities
- Vendors must ensure their menu (prices, availability, images) is accurate and up to date at all times.
- Vendors are solely responsible for food quality, hygiene, preparation safety, and compliance with local food safety regulations.
- Vendors must not list illegal, prohibited, or misleading items on their menu.
- Vendors are responsible for informing their customers of any allergens or dietary restrictions relevant to their dishes.
8. Account Termination
ScanToOrder reserves the right to suspend or terminate any vendor account without prior notice if the vendor is found to be in violation of these Terms, engaging in fraudulent activity, or using the platform in a manner that harms customers or the integrity of the platform.
9. Governing Law
These Terms shall be governed by and construed in accordance with the laws of India. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the competent courts in India.
